This page is maintained by Opportunity Hive Limited (trading as Automica) to explain how we handle personal information collected through this website and during the course of client work. It is written in plain English and reflects our current practice. If we change how we handle data, we update this page.
Who we are
Automica is a trading style of Opportunity Hive Limited, a company registered in England and Wales. Our registered address is 9-10 Cross Street, Preston, Lancashire PR1 3LT. For any question about this policy or your personal data, email hello@automica.com.
For the purposes of UK GDPR and the Data Protection Act 2018, Opportunity Hive Limited is the data controller for personal data collected through this website and through enquiries sent to us.
What we collect and why
We try to collect as little as we can get away with. The categories below cover everything we hold.
- Enquiry details. When you send us a brief through the contact form or by email, we receive your name, email address and whatever you tell us about the business. We use it to reply, prepare a quote and keep a record of the conversation. Legal basis: legitimate interest in responding to enquiries, and steps taken at your request before entering a contract.
- Client records. If you become a client, we hold contact details, invoices, project notes and anything else needed to run the project and keep our accounts. Legal basis: performance of a contract, and legal obligation for accounting records.
- Analytics. We use a privacy-friendly analytics tool that records aggregate page views, referrers and approximate country. It does not set advertising cookies or identify you personally. Legal basis: legitimate interest in understanding how the site is used.
- Server logs. Our hosting provider keeps short-term logs of IP addresses and request details for security and abuse prevention. Legal basis: legitimate interest in keeping the service secure.
Who we share data with
We do not sell personal data and we do not share it for advertising. We do use a small number of third parties to run the business. Each one is bound by a data processing agreement with us.
- Email and document hosting for our day-to-day operations.
- Cloud hosting for this website and for client projects.
- Payment processing for invoices.
- Accounting software for bookkeeping and tax returns.
A current list of subprocessors is available on request. Some of these providers operate outside the UK. Where that is the case, transfers are covered by the UK International Data Transfer Agreement or equivalent safeguards.
How long we keep it
Enquiry emails that do not turn into a project are deleted after twelve months. Client records are kept for six years after the end of the engagement to meet UK accounting and tax record-keeping rules, then deleted. Server and analytics logs are kept for no longer than is needed for the purpose they were collected.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, ask us to correct it, ask us to delete it, ask us to restrict how we use it, object to certain processing, and ask for a copy in a portable format. To exercise any of these, email hello@automica.com. We reply within thirty days.
If you are not happy with how we have handled your data, you can complain to the Information Commissioner's Office at ico.org.uk. We would rather you spoke to us first so we have a chance to put things right.
Security
We use industry-standard measures to protect personal data: encrypted connections, access controls, password managers and reputable hosting providers. No system is perfect. If we ever become aware of a breach affecting your data, we will tell you and the ICO within the timescales required by law.

Changes to this policy
If we change how we handle personal data, we update this page and change the date at the top. Material changes that affect existing clients are sent by email.
